5.2 Config Group: a connection between glossaries
In Bureau Works, you can manage your glossary updates in a designated section. Users with the appropriate permissions can create new concepts and request them as glossary terms. The terminology system will evaluate whether these suggestions are suitable. Let's review the process for this.
1. Boards
Permissions:
Before starting to create your requests using the Terminology Board, the following permissions are necessary:
1.1 Accessing the board:
Go to Settings > Account Settings > Business > Terminology Board
2. Key Features of the Board
The Terminology Boar uses a kanban-style layout to represent the lifecycle of terms. Each lane corresponds to a specific status, making it easy to track terms from creation to approval.
2.1 Default Template for Terminology Board:
New: Where all terms start. As soon as a user create a concept with the request option, it goes to 'new' kanban line
Reviewed: Terms under review or pending action.
Rejected: Terms that were not approved.
Published: Final lane where terms are published to the glossary.
2.2 Board Lanes—Customizable Lanes:
Rename lanes to fit your workflow (e.g., change "In Progress" to "Pending").
Add extra "In Progress" lanes if needed.
2.3 Rules:
Every board must start with the type "New" and end with "Approved."
Every board must contain at least two lanes (e.g., "New" and end with "Approved.")
Boards can’t be deleted if they’re tied to active requests.
Example: You can set up a board to track terms from creation to approval. For instance, start with "New," move terms to "Under Review," and finish at "Published."
3. How to Request a Concept
The Terminology Board manages concepts within the Glossary, ensuring consistency and accuracy. Now that everything is in place, you can request new concepts either directly on the Glossary page or while working in the Editor. Remember, your Glossary needs to be fully set up; you can visit All About Glossaries. for more information.
3.1 Request via Glossary:
To request a Concept in the Glossary, go to your Glossary, select Add Concept, and update two or more terms, then click on Request:
3.2 Request via Editor:
On your project, open the editor and select a word from the source segment:
Now select the +Add Item button, and the following will pop up:
Part of speech: Specify whether it’s a noun, pronoun, etc.
Classify this word as 'Acronym' or 'Full'
The selected word
The translation
You’ll have the option to either Publish it immediately or send it for Request. If you choose Request, the concept will be submitted to the Terminology Board for evaluation and approval.
By clicking Request, the concept will be moved to the 'New' lane on the Board in the Glossary.

4. Managing Your Terms on the Glossary Board
To access the Board, go to the Context menu, open the Glossary, and select the Board tab.
Here you can:
4.1 Move terms between statuses:
Simply drag them into the desired lane.
4.2 Add term:
To add a term, click on it and then select the '+' icon.
To proceed, you’ll need to complete the following fields on the page:
Text: Enter the text you want to add.
Part of Speech: Specify whether it’s a noun, pronoun, etc.
Term Type: Indicate whether it’s a full term or an acronym.
Language: Select the language.
Case Sensitivity: Specify if the term is case-sensitive.
Forbidden: Indicate if the term is forbidden.
Concept Definition and Usage: Provide a clear definition
Usage: Explain its usage.
Notes: Add any additional relevant information.
Ensure all fields are accurately completed for proper processing.
4.3 Edit Term
You can easily edit a term by clicking on it:

4.4 Review History
Keep track of all changes to a term, including the status changing, who made the update, and when.
You can view this history on Edit term:
4.5 Bulk Move Terms
Move multiple terms at once between languages or stages. A simple pop-up will guide you through selecting where the terms should go.
To confirm the bulk move, choose the target lanes and languages, include a message if necessary, and confirm.
4.6 Publishing a Term:
To publish a term, select it, click on ACTIONS, then choose Move Selected Requests, select a target lane, and proceed to publish the term
You can also move terms between lines by dragging them into the desired lane.
After this, you will be able to see the published term in your glossary:
5. Integration with Phrase
Easily integrate with Phrase for streamlined terminology synchronization. Navigate to Integrations and select Phrase:
5.1. Configs: Establish Bureau Works Access to Phrase
To facilitate Bureau Works' access to Phrase's content, it is important to take the necessary steps. You can generate an access token in Phrase using your account credentials and share this token with Bureau Works. Alternatively, you have the option to provide your credentials to enable Bureau Works to connect with Phrase directly. Using the API token will help ensure a secure and effective integration between both platforms.
5.2 Config Group: a connection between glossaries
To facilitate a seamless integration between Bureau Works and Phrase glossaries, please consider defining a configuration group that encompasses the following elements:
A name: Reference name for this Configuration Group
The Bureau Works Glossary ID: The ID of the glossary in Bureau Works
The Phrase Term Base ID: The ID of the term in Phrase
Configs: A configuration (Config) for this Configuration Group
You can utilize this integration to ensure that approved terminology in Bureau Works automatically syncs with the Phrase term base for current projects.
