How to use Bureau Works Quote Automation

This article will guide on how to use and understand our Quote Automation feature.

⚠️ The quote automation feature is currently available starting with the Clockwork plan.



1. Enabling or disabling the Quote Automation feature

Enabling and disabling the Quote Automation feature can be accomplished through two methods: one within your account settings and the other via Organizational Units.

1.1. Account level

To enable Quote Automation for your entire account, navigate to "Settings", then "My Account", and finally, toggle the "Enable Quote Automation" option.

1.2. Organizational Unit level

To enable Quote Automation for your Organizational Unit, navigate to "Organizations", then "Organizational Units", open the Organizational Unit you wish to enable it, click on "More Settings" and finally, toggle the "Quote Automation" option.


💡Once Quote Automation is enabled for a particular Organizational Unit, all projects generated within it will inherit automatic Quote Automation activation.

⚠️ Reminder: Make sure to click on "Save" to ensure your changes are saved correctly.


2. Getting your project automatically quoted

Assuming your configurations are accurate, the project's status will shift to "Pending" automatically upon project creation, once the automatic quote is prepared. A label reading "Project automation finished" will indicate this.

This functionality enables automated project quoting, particularly advantageous for projects initiated by your clients. It empowers them to swiftly create and approve projects within seconds, eliminating the necessity to revisit the platform for approval at a later time.

3. Quote Automation limitations

Currently, our Quote Automation covers almost all of our supported file extensions, with the exception of SDLXLIFF, IDML and MD formats. Here you can read more about our supported and unsupported file extensions.

The Workflows that are not accepted are QA, Subtitling, Video_Editing, Voiceover, Sworn, Interpretation and Development.

⚠️ If applied, the DTP Workflow will need to be associated with one or more of these file formats: PPTX, PPTM, POTX, POTM, PPSX, PPSM (i.e., PPTX and its variations).

Should a user upload a file that falls outside the capabilities of Quote Automation or opt for a workflow not supported, the project will display a status of "Project automation failed" instead of automatically transitioning to "Pending." In such cases, the responsible project manager will need to take over the project quoting process.
